Client Terms & Conditions 

1. INTRODUCTION These Booking Terms and Conditions ("Terms") set out the agreement between you ("Client", "you", or "your") and Lunari Concierge Ltd ("Lunari", "we", "us", or "our") for the provision of event-related services including but not limited to corporate hospitality, travel coordination, ticket access, and curated experiences (the "Services").

2. DEFINITIONS

  • "Event" refers to the hospitality experience, ticketed event, or travel itinerary arranged.

  • "Order" means the written confirmation or agreement detailing the Services.

  • "Contract" refers to the legally binding agreement created once Lunari accepts your Order.

  • "Deposit" means the initial non-refundable payment to secure Services.

  • "Total Fee" is the full amount payable, including all applicable charges.

3. FORMATION OF CONTRACT 3.1 A Contract is formed when you accept our written quote, and we confirm acceptance via email or invoice. 3.2 By confirming your booking, you agree to be bound by these Terms, even if you have your own terms and conditions.

4. SERVICES AND CLIENT OBLIGATIONS 4.1 Lunari acts either as a principal provider or intermediary. Where we act as an intermediary, we arrange the Services through trusted third-party suppliers. 4.2 You are responsible for providing accurate information, including guest details and any special requirements. We cannot guarantee fulfillment of special requests. 4.3 You must ensure that all attendees adhere to event rules and conduct standards. You are liable for any damage caused by your guests.

5. PAYMENT TERMS 5.1 Unless otherwise agreed in writing, payment terms are as follows:

  • 30% Deposit on confirmation

  • 40% within 7 days of contract formation

  • Remaining 30% due no later than 12 weeks before the Event 5.2 All payments must be made in cleared funds. Late payments may result in cancellation of Services and the application of statutory interest (8% plus Bank of England base rate). 5.3 We reserve the right to pass on price increases from suppliers, taxes, or currency fluctuations. If increases exceed 20%, you may cancel in writing within 48 hours for a refund, less unrecoverable costs.

6. CANCELLATIONS & REFUNDS 6.1 If you cancel:

  • 100% of the Total Fee remains payable once the Contract is formed.

  • We will attempt to recover and re-sell any elements of the booking where feasible, but refunds are not guaranteed. 6.2 If we cancel due to circumstances beyond our control, a full refund will be issued. We accept no liability beyond the amounts paid. 6.3 If the Event is cancelled or altered by the organiser or supplier, we will liaise to offer a substitute or refund, but cannot guarantee reimbursement beyond what we recover from suppliers.

7. CHANGES TO THE BOOKING 7.1 All requests for changes must be in writing. Additional guests or upgrades will be invoiced separately and confirmed only upon full payment. 7.2 Downgrades or reductions in Services may be treated as cancellations and subject to Clause 6.

8. LIABILITY AND INDEMNITY 8.1 Lunari will perform Services with reasonable care. We are not liable for:

  • Event schedule changes, content, or cancellations by third parties

  • Indirect losses, such as loss of business or reputation 8.2 Our liability is limited to the amount you have paid to us under the Contract. 8.3 You agree to indemnify us against claims from guests or third parties arising from your use of the Services.

9. FORCE MAJEURE We are not liable for failure to perform due to acts beyond our control including natural disasters, strikes, pandemic-related restrictions, or supplier failure.

10. CONFIDENTIALITY & DATA We will handle your data in accordance with UK data protection law. Event participation may include photography or video recording; please notify us if any guest wishes to opt out.

11. GOVERNING LAW These Terms are governed by English law. Any disputes will be handled by the courts of England and Wales.

12. FINAL NOTES These Terms constitute the entire agreement. Variations must be agreed in writing. We may update these Terms from time to time and the version in effect at time of booking will apply.
